Cloud Student Homes is a PBSA provider offering student accommodation in eighteen cities across the UK. They are an Enterprise Concurrent customer and have been taking advantage of the full-stack solution since 2018 to support, streamline, and modernise their operations.

Cloud Student Homes has a unique business model. They manage approximately 3800 beds and deal with approximately 2800 individual landlords and leaseholders in property investment schemes. As a result, they aim for 100% occupancy every year, to ensure that each individual leaseholder is satisfied that their rooms are filled and they have secured revenue.

Cloud Student Homes needed access to comprehensive, real-time data both so they could make decisions that would ensure maximum occupancy and so they could report back to individual stakeholders efficiently and accurately.

They were previously using a building-by-building reporting system which did not offer them an integrated data view. They needed an enterprise-level reporting solution that would allow them to easily assess which rooms were filled and when and analyse the data behind occupancy or voids to make more informed decisions.

Real-time reporting

Cloud Student Homes generates real-time reports using Concurrent’s Report Builder API. Data from the Concurrent system feeds directly into their third-party CRM. Data is updated overnight and a new scheduled report is generated, allowing the team to assess fresh, accurate data at a glance each morning.


Report Builder API’s data flow means everything is integrated in one place. This makes it easier for colleagues across different teams to access and understand key data points. Cloud Student Homes can also present data in a clear manner, both at C-level within the organisation and to individual accommodation managers and lease holders.


Data-driven decision making

Cloud Student Homes uses Concurrent’s Report Builder API to access, understand, and analyse large volumes of booking and occupancy data including booking numbers, booking quality, tenancies pending, tenancies signed off, check-ins, check-outs, and tenant demographics. They now have a better understanding of student dynamics, where they should tailor their marketing efforts, and what success looks like.


Being able to access this data via reports has helped Cloud Student Homes to inform key business decisions as they have the information needed to pre-empt issues and react efficiently. For instance, thanks to the speed of Concurrent’s reporting, the team were able to implement dynamic pricing. 

They support this decision-making by using the StuRents’ Intelligence Quarterly and Annual Reports to spot market trends and assess emerging differences on a city-by-city level. Due to the confidence the team has in the data, Cloud Student Homes can also provide individual leaseholders with more insight and clarity into occupancy performance.

Email automations

Cloud Student Homes uses Concurrent’s email templates and automation triggers to send automated communications to tenants at different stages of the tenancy. The templates and automation triggers are easy to set up and intuitive to use.

Sending automated emails has helped to streamline the student journey and support Cloud Student Homes’ onsite accommodation teams. For instance, they can send messages to student tenants prior to check-in and after arrival reminding them of everything they need to do.

They also automate the process of asking tenants to show proof they are a student and provide council tax exemption forms. Automating these communications has significantly increased the number of responses they received compared to when they were manually requesting.
