Condor Properties is a specialist student lettings agent operating in Aberystwyth, Cardiff, Exeter, Liverpool, Loughborough, and Swansea. It has a dedicated, highly reactive maintenance team and a dedicated Location Manager for each city where it lets student HMO properties.
The Problem
Before Concurrent, Condor Properties struggled with the inefficiencies of its manual processes.
- Condor Properties had to actively contact tenants to ask them to complete Right to Rent checks which was challenging if students operated in different time zones.
- Contracts were signed in person, transferred to Head Office, and manually sent out. If there were any errors, contracts would have to be reposted.
- It was time-consuming to train new staff on lengthy manual processes.
- Condor Properties tracked rent on an Excel spreadsheet and manually cross-referenced with bank accounts.
- It was hard to cover workload when staff were away without a centralised system.

Why Did Condor Properties Choose Concurrent?
Condor Properties originally chose Concurrent to streamline internal processes and speed up key property management responsibilities.
In the past year, they began using Right to Rent checks for the first time as they needed an automated solution that would reduce their reliance on manual interactions with students. They wanted a trusted solution that could commence checks at convenient times for tenants, minimise unnecessary admin, and ensure full compliance.
The Solution
Revolutionising Right to Rent Checks
Concurrent ensures Condor Properties remains compliant with automated Right to Rent checks that leverage TrustID, a government-backed, IDSP-certified identity document validation technology. Concurrent automates when the check will commence based on whether the tenant is domestic or international, to comply with government guidelines around when checks should be performed for tenants with a time-limited visa.
Many tenants seek accommodation with Condor Properties while on a year in industry. As these often take place abroad, tenants could be in a different time zone when completing Right to Rent checks so they could easily miss manual reminders. Concurrent automates Right to Rent check reminders and the commencement of the process, allowing students to complete checks at a convenient time for them, no matter where they are in the world.
Concurrent then seamlessly and automatically creates a downloadable report which allows Condor Properties to easily assess pending or completed checks, clearly highlighting any individuals they might need to chase.

Meeting Demand for Digital
Using Concurrent allowed Condor to modernise and become more accessible to the tech-savvy student market. They digitised key processes such as Right to Rent checks, contract signing, issuing Deeds of Assignment, managing rent controls, and reporting on key data, making them much faster.
When staff are away, it is now easy for other team members to pick up their work. Using Concurrent’s rent dashboard, any staff member can access and extract key data for any city they operate in in a matter of minutes, filtering by status, start date, locations and more.
The system is extremely user-friendly and clear to use, which has made it much easier to train new staff members. Condor Properties has established clear processes with Concurrent which are quick and simple to explain to new hires, saving them time during the onboarding process.
Up-to-Data
Concurrent stores and updates all tenant contact information automatically, meaning team members no longer have to look through old spreadsheets or records to find the correct details when they need to chase tenants. The most up-to-date data is right at their fingertips and easily exportable.
Managing Maintenance
Using the maintenance reporting feature on the branded app, tenants can send photos of issues directly to the maintenance manager. This provides more clarity than a verbal explanation, particularly as student renters can be inexperienced when it comes to maintenance issues. As tenants can be fully transparent about problems, maintenance issues can be resolved quickly. Property managers can track all maintenance tickets on Concurrent’s maintenance dashboard, ensuring tickets are closed timeously and thereby improving tenant experience.
Real-time Reporting
Concurrent’s Report Builder allows Condor Properties to download reports for key seasonal data at the click of a button, without manually searching through realms of data. For instance, they can easily access student numbers when applying for council tax exemptions, see booking and enquiry numbers, understand occupancy and rent periods, and see key maintenance analytics.
The Results

Thanks to Concurrent’s Right to Rent integration and automated reminders, over 90% of students now complete their Right to Rent checks without any contact with Condor Properties whatsoever. For example, this year in Exeter, 129 out of 140 students completed their checks without being prompted by Condor, which vastly increased the efficiency of the process.
Concurrent has helped Condor Properties increase efficiency, minimise errors, and enhance the tenant experience, both during the booking process and once tenants have moved in.
Since onboarding with Concurrent in 2017, Condor Properties has closed 8138 maintenance tickets, thanks to the streamlined process of reporting issues through the tenant app and tracking progress using the maintenance dashboard.
As all data is now stored centrally in Concurrent, team members can easily cross-check contracts for each other, significantly reducing human error.
